Internal access to samples in the NHMO DNA Bank

While external users are referred to the general Grant policy and loan request procedures of the NHMO DNA Bank, a simplified procedure is available for NHM personnel (permanent staff and temporarily associated researchers, postdocs and students).

Requesting an internal loan from the NHMO DNA Bank

 

  1. Prepare a list of the requested samples
    • Preferably including Corema accession and item numbers
    • Alternatively, a list of (a set of) other identifiers that allow unambiguous identification of the requested samples; at least taxon and sample/field/collection number, but date, locality etc. may also be relevant
  2. Send the list to the DNA Bank (nhm-dnabank@nhm.uio.no) and include:
    • Your name and internal affiliation (research group or similar)
    • If you are a student, include also the name of your (main) supervisor
    • When you would like the samples to be available

DNA Bank personnel will then create an internal loan registration and retrieve the samples from storage. Once the samples are ready for use you will receive a notification about where they can be found and how to proceed with subsampling and return of samples and DNA extracts.

NB! Please plan some days ahead to be sure to get the samples in time for your planned analyses. While samples normally will be made available the same or the next day, it may take somewhat longer during busy periods.

Internal loaners will normally be assumed to subsample the original samples themselves, and then return the stock samples to the DNA Bank as soon as possible.
Similarly, for DNA extracted from samples from the DNA Bank, the loaner should take out as much extract as need for the intended analyses and return the rest of the DNA extract to the DNA Bank as soon as possible, along with extraction data (date of extraction, responsible person, chemistry used, concentration etc.). This is to ensure that the stock extract is stored optimally and will be available for future use.

NB! All DNA Bank freezers are equipped with temperature alarms and access to the freezers is restricted. Unauthorized personnel is not allowed to retrieve samples from the DNA Bank without prior consent from DNA Bank personnel. This is to ensure the integrity of samples stored in the DNA Bank, as unauthorized access may compromise temperature control, sample organization, alarms etc.
